Tugadh is free for clubs and we are not in the data business. This page sets out exactly what we collect, why we collect it, who sees it, and how to get it back or get it deleted.

Who holds your details

Niall Meaney is the data controller for Tugadh. Our company registration is being finalised, and this page will be updated to name the company once it completes.

What we collect, and when

We only collect what you type into one of our three forms. There is no account, no login, and nothing is gathered in the background.

When you register a club. Club or organisation name, county, sport or organisation type, your name, your role in the club, your email address, your phone number if you give one, and where the club is at with funding.

When you put a project through the project builder. Everything above, plus a description of the project, the elements you break it into, rough budgets per element, how the club holds its grounds, whether the club has an approved grant still to draw down, when you would like the works to happen, which elements you want quotes on, and any notes you add for suppliers.

When you apply to the supplier panel. Company name, contact name, email address, phone number, website, the categories you work in, the counties you serve, whether you hold current tax clearance, whether you have insurance in place, and a description of club or community work you have done.

When you ask for a quote. What the club needs and which categories it falls under, a rough budget band, when the works would happen, where you are with a grant, which suppliers you want asked, your Tugadh reference if you have one, and the club name, county, your name, role, email and phone.

When you ask to see a supplier's contact details. We record which supplier and the project line you typed, so we can follow up with the supplier. We do not record who you are unless you include it in that line.

Every submission also records the consent you gave, the exact wording you agreed to, and the date and time. The contact-details request above is the one exception: it is a business record, so it carries no personal details and no consent tick.

Why we collect it, and our legal basis

We use it to help your club find funding it qualifies for, to get a project ready for a grant application, and, where you ask for quotes, to put your project to vetted suppliers.

Our legal basis is your consent, given by ticking the box on the form. You can withdraw it at any time by emailing hello@tugadh.ie, and withdrawing it does not affect anything we did before you withdrew it.

Who else sees it

Vetted suppliers. If you ask for quotes, either through the project builder or the quote form, we share the request with suppliers in your categories and counties so they can price the work. This is the whole point of the quote request and it only happens when you ask for it. It includes the project details and the club name and county. You choose who is asked. If you save a project without asking for quotes, no supplier sees it.

Google. The forms write to Google Cloud Firestore, which stores the data for us. Google acts as our processor, which means they hold it on our instructions and may not use it for their own purposes.

Google, again, for email. Confirmation emails are sent through Google Workspace using our own hello@tugadh.ie mailbox. A copy of every confirmation goes to hello@tugadh.ie so we have a record of what was sent.

Cloudflare. Loading this website sends your IP address to Cloudflare, who serve a code library the site needs. This happens on any page load, before you fill in anything. It is how the page gets built, not something we collect or keep. The typeface is served from tugadh.ie itself, so nothing about your visit goes to a font provider.

PostHog. Our visit counts are processed by PostHog on servers in Frankfurt, inside the European Economic Area, under a data processing agreement. What that involves is under cookies and tracking below.

We do not sell your details, we do not share them for marketing, and we never take a percentage of any work that results.

Where it is stored

The database sits in Google's europe-west1 region in Belgium, inside the European Economic Area. We chose that location deliberately rather than accepting the United States default.

Google may still access data from outside the EEA for support and maintenance, under the standard contractual clauses in its data processing terms.

How long we keep it

  • Club and project details. While the club is working with us, and for two years after we last hear from you. Grant rounds are annual and clubs come back, so a shorter window would mean re-typing everything.
  • Supplier applications. While you are on the panel, and for two years after you leave it.
  • If you withdraw consent or ask us to delete. Within 30 days, except anything we are legally required to keep.

Cookies and tracking

This site sets no cookies and stores nothing in your browser about your visit. If you start a project, a draft is kept in your own browser until you send it or clear it, and checklist ticks are kept the same way. Nothing in your browser is sent to us.

We do count visits. We use PostHog, a web analytics service hosted in the European Union, to see how many people visit, which pages they read, and where the site is losing people. It sets no cookies and stores nothing on your device. For the day of your visit it tells one visitor from another using a one-way hash of your IP address and browser type, which it cannot reverse and which it throws away the next day. It never knows who you are, and nothing you type into a form goes to it. We have a data processing agreement with PostHog. Because nothing is stored on your device and nobody is identified, there is no cookie banner and nothing to opt out of; if you use a content blocker, it will block this and the site works exactly the same.

Automated decisions

There are none. No profiling, no automated scoring, no algorithm deciding what your club qualifies for. A person reads every submission.

Your rights

You can ask us to:

  • give you a copy of what we hold about you
  • correct anything that is wrong
  • delete it
  • stop using it, or restrict how we use it
  • send it to you or someone else in a portable format
  • withdraw your consent

If you are not happy with how we have handled it, you can complain to the Data Protection Commission, who regulate this in Ireland: dataprotection.ie, or 1800 437 737.

Keeping it safe

Submissions are write-only from the website. Nothing typed into a form can be read back out through the site by anyone, including us. Submissions are read by the Tugadh team through a private hub that needs a Tugadh sign-in. The hub is separate from this website.

Children

Tugadh is for club officers and suppliers, who are adults. We do not knowingly collect details about anyone under 18. If a club gives us a contact as part of a project, we ask that they are an adult officer of the club.

Changes to this notice

If we change how we handle your data, we will update this page and change the date at the top. If the change is significant, we will email anyone it affects.
